Service Administration Supervisor
Job description
Reporting and Key Performance Indicators:
- Ensure timely and accurate processing of work order management, purchase order, service invoice, including warranty and internal jobs.
- Monitor and report on the service department KPIs (e.g. WIP aging, work order closing efficiency, labour productivity, mean to time invoice, service effectiveness, recovery rates).
- Provide decision-making support to service management team in the analysis and resolution of service-related issues.
System and Compliance Management:
- Review all necessary data entry and confirmation is accurate for short- and long-term recording.
- Drive continuous improvement projects in service administration processes and systems.
- Ensure adherence to policies, safety procedures, and local legal/regulatory requirements.
- Ensure accuracy and timeliness of data entry in systems such as eXtend and other Komatsu platforms.
Leadership: Supervise and lead the service administration team, ensuring clear role understanding, training, and performance management
Process Improvement: Drive continuous improvement in service admin processes, workflows, and system usage (e.g. eXtend)
Collaboration: Coordinate with service, planning, and technical teams to resolve issues and ensure smooth operations
Job requirements
- Bachelor’s degree in business administration or financial or related field.
- English language skills are required.
- 2–5 years of experience in a supervisory or team lead role in service administration, customer support, or operations coordination.
- Proven experience managing administrative teams, assigning tasks, and conducting performance reviews.
- Strong experience with ERP systems — ideally eXtend, or other service management platforms.
- Strong verbal and written communication skills, especially for liaising with service supervisors, service managers, customers, and finance teams.
- Skilled in conflict resolution and maintaining professionalism in high-pressure service environment.
- Knowledge of Microsoft Office to learn new systems and processes.
